Job Description:

Position Summary:

This role is responsible for the lease administration of the Company's properties, department reporting and records management, and streamlining department processes. Also, works with department management to negotiate leases.

Here’s what you’ll do:

  • Responsible for the lease administration of the company's properties to act as a liaison for landlords on leased or licensed properties.

  • Establish and maintain working relationships with landlords, tenants, and internal departments to effectively administer the leases and to respond to inquiries.

  • Administer, interpret and maintain lease contract conditions and respond to and document lease concerns.

  • Modify and/or update master lease documents, lease agreements or notice options, partner with the Legal department for review and revisions as appropriate.

  • Negotiate and prepare in-store sublease and license documents working with department management as necessary.

  • Ensure legal review of such documents in a timely manner.

  • Responsible for the common area maintenance (CAM) review and audit for landlord reconciliation and related communications.

  • Evaluate real estate property taxes, prepare lease billings for company tenants and monitor the collection and record keeping of payments.

  • Responsible for lease accounting reports and records; review account reports for accuracy and work with accounting to improve and streamline reporting processes/systems.

  • Prepare payment billings and statements for rent, taxes, CAM and insurance to tenants and landlords; calculate and report percentage of rent accordingly to landlords based on sales figures.

  • Ensure the accurate input of required data (i.e., key dates, financial terms, etc.) and related lease and owned property documents into the lease administration software.

  • Oversee the review of accounting activities and location net statements according to the accounting cycles, and provide Accounting with rent, CAM and tax costs for each budget year.

  • Maintain and track company owned properties, leases, sublease and license agreements, and ensure adherence to date sensitive conditions (lease expiration dates, accounting changes, etc.).

  • Develop and distribute related correspondence to Legal, landlords, subtenants, and other internal departments accordingly to ensure thorough communication of related information.

  • Negotiate common area maintenance charges, and facilitate such between landlords and tenants, while working with department management.

  • Partner with facilities on seasonal maintenance contracts.

  • Negotiate sublease/license agreements and extensions on in-store third party operations, seek and source in-store subtenant/licenses to replace terminating subleases/licenses, coordinate space conversion with facilities for terminating or new subleases/licenses and ensure timely payment of lease charges and repairs/conversions in compliance with sublease/license.

  • Assist department management with the coordination of acquisition negotiations documents, review acquisition documentation and participate in the rent/net reconciliation process as requested.

  • Maintain current knowledge of industry trends and best Real Estate/Lease Administration practices; make recommendations to improve current programs and processes, and to provide cost saving measures.

  • Additional responsibilities may be assigned as needed.

Here’s what you’ll need:

  • Bachelor's Degree (Required) in Accounting, or Business Administration, Finance or related area or equivalent combination of education and experience.

  • Five years lease administration experience.

  • Strong written and verbal communication skills.

  • Strong negotiation skills and the ability to work cross functionally to include internally and externally.

  • Strong organization, attention to detail and problem-solving skills; ability to multi-task and prioritize.

  • Knowledge of Generally Accepted Accounting Principles (GAAP) and SOX compliance.

  • Strong MS Office (Excel, Word) skills.

  • Familiarity with lease administration software preferred.

The noise level in the work environment is usually low to moderate but may be high in distribution settings. Travel requirements vary by assignment.
